Verification of Student Identity

Financial Aid verification of student identity: Eight-Five percent of the Miller College students enrolled in classes are receiving Federal Financial Aid. For Financial Aid Verification, students are required to include their social security number on the Free Application for Federal Student Aid (FAFSA). This is run through a check with the Social Security Administration, Selective Service, and the U.S. Dept. of Homeland Security for verification of identity. If anything does not go through the process cleanly, The Dean of Student Services & Financial Aid receives a "reject" code on the FAFSA record and then will follow up with the student to obtain a copy of their social security card, selective service registration form, birth certificate, alien registration card, passport, or other documentation which verifies their identity, citizenship status, etc.

It is important to note that the Dean of Student Services & Financial Aid does not process any financial aid for a student until their identity can be confirmed through the FAFSA application or the supporting documentation (SS card, etc.). 

Registrar’s verification of student identity: In terms of transcripts, the Registrar’s Office will first clarify that the name on the transcript matches a name in our Colleague Data Base System, if so then either the birthdate or social security number is verified as being the same. If either the birthdate or social security number does not match, then a letter is sent to the student asking for verification of either the birthdate or social security number whichever is on the transcript. If the student's name is not in our Colleague system the transcript is kept for one year per AACRAO recommendations at which time it is shredded. During that time the Registrar check’s the system every two-four weeks to verify that the student is still not in our system. The admissions advisors are giving a list of students whose transcripts have been received when the transcript is either entered into our system or filed in the pending file waiting to be identified.

Student Identification Cards (See Student Handbook)

Student identification cards are required for students to access Miller College and KCC facilities and services.  Picture ID’s are taken in the Student Services Office.  Proof of registration for the current semester and picture ID must be presented in order to receive an identification card.

Misuse of the student ID to obtain privileges may result in disciplinary action by the College.  Student IDs are validated in the Miller College Student Services Office at the beginning of each semester with proof of registration.
